Everyone needs a secure base: somewhere safe to set out from, and somewhere to come back to, knowing they'll be welcomed.
After John Bowlby, A Secure Base (1988). A clinical will keeps that base secure for your clients, even when you can't be there.

What is a clinical will?

A clinical will sets out what should happen for your clients, and their records, if you die or are suddenly unable to work. It names a clinical executor, a trusted colleague bound by confidentiality, who can contact your clients, offer support or onward referral, and look after your records.

Managing breaks and endings so the impact on clients is as small as possible
(a) Tell clients about any limits on sessions or the services offered.
(b) Give reasonable advance notice of planned breaks. In the app: Announcements
(c) Give reasonable notice when approaching an ending, where it's safe to do so.
(d) Manage unplanned breaks and endings to minimise harm and disruption.
(e) Have a clinical will and an executor, bound by confidentiality, who can contact clients if you can't, or if you die.In the app: your whole plan

How it works

Three people, three clear roles

Each person sees exactly what they need, and nothing more. Confidentiality is built into the design, not added as a setting.

1
You, the therapist

Keep your client list, write your letters, choose your executor and emergency contact, and test that it all works.

Sees: everything
2
Your clinical executor

A trusted colleague, bound by confidentiality. Your plan stays sealed until it's activated, then they have what they need to contact your clients with care.

Sees: your plan, only once activated
3
Your emergency contact

Holds your executors' details and can send a holding message, blind, so no client turns up to a locked door.

Sees: only your executors' contact details, never your client list
Your client list

Every client, contacted the right way

Add clients in minutes and choose how each should be reached. The right person gets the message, in the right way.

Adult: the client directly
Couple: both partners
Child: parent contact only
Young adult: parent contact with the client's consent
Vulnerable adult: carer only, or carer and client, depending on capacity to consent

Endings handled as carefully as beginnings

Mark each client as current, ended but kept on the list, or ended and removed. Removed clients are hidden from your list but kept for a period you choose. Nothing is deleted without a warning first, and anyone can be brought back to the list in a tap.

Your letters

Every message written and approved in advance

Pre-written letters are provided for each one. Use them as they are, make a small tweak, or rewrite them completely, while you're calm and well.

Introduction: in your own voice, explains what a clinical will is and why you have one. Standard, or personal to each client. It asks clients to acknowledge it, which confirms their details work. Test send to yourself first.
Holding message: in your own voice, or however you choose. A short note to upcoming appointments for when time is of the essence, before clients turn up at your door.
Standard letter: sent by your executor, in their name. In the case of illness only, you may choose to write it in your own voice. Most clients will receive the standard letter; you choose any who should receive a personal one.
Announcements: give clients reasonable notice of planned breaks and holidays, as the Ethical Framework asks (point 4.5(b)).

Messages go by email and text. Send both together, either the full message by text or a text letting the client know an email is on its way, and flag any client who will need a phone call instead.

Your clients will never receive marketing or anything unnecessary from us. That would be unethical, and it isn't what this is for.

When time matters

No client left waiting at a locked door

Connect your appointment diary and your emergency contact can send the holding message to upcoming appointments straight away, without ever seeing a name or contact detail.

As a last resort, if neither your executor nor your deputy executor can be reached, your emergency contact can blind-send your approved letter to every client, so no one is left without word.

Quietly kept current

A plan that still works on the day it's needed

Background checks run regularly to confirm your clients' contact details still work, without your clients receiving anything. Reminders you set prompt you to review your list, and to check that your executor and emergency contact are still willing and able.

Therapist and executor, in one app

Look after your colleagues' clients, and your own

Most executors are therapists too, and many arrangements are reciprocal. Switch roles in a tap: my clients, my executors, my emergency contact, and the colleagues I'm executor for.

Acting as someone's executor or emergency contact costs nothing. Your own clinical will is free for up to 5 clients; beyond that, it's the Practice plan.

A sealed vault, not a shared spreadsheet

Your client list is encrypted on your phone before it goes anywhere. Our servers only ever hold the sealed version, which we cannot open. It unlocks only when your plan is activated, and only for the people you've chosen. [Confirm against the app's actual design]

Sealed until needed

Activation needs your executor to confirm, and you're notified straight away, with time to cancel if you're well. [Confirm activation steps]

Blind sending

Emergency contact trigger messages without ever seeing who receives them. Contact details never leave the box.

Stored in the UK

Account data held on UK servers [provider] under UK GDPR. Client details are only ever stored encrypted. [ICO registration number]

Every access recorded

Secure sign-in with two-step verification, and a log of every activation and send that you can review. [Confirm]

Why we built it

Built with a therapist, from a real clinical will

My wife is a psychotherapist. Her clinical will used to be a password-protected spreadsheet, handed to a colleague who had agreed to be her executor, and she to theirs in return.

It's not hard to update a spreadsheet. But a spreadsheet never reminds you to, and it never tells you an email address has stopped working. And on the worst day, it leaves someone grieving to turn rows of data into thirty-odd individual emails, each needing compassion and careful follow-up. Anyone who has been an executor for a parent or sibling knows how heavy that can be.

securebase.care takes that weight off your executor, and makes keeping your plan current something that happens almost by itself.
